Introduction

As a landlord, you’ll want to know that your property will be well looked after, that you will receive an excellent level of service and expert advice from your letting agent. We at Forum Sales & Lettings always strive to ensure that we fulfil these key points. It is because of this, as well as the following reasons, that many landlords have already entrusted us to look-after and market their properties:

  • We get the rental price right. Using our knowledge of comparable rents in the area, we accurately assess the open market value of your property.
  • We get results as, on average, we let properties within two viewings! This minimises any void periods and also maximises your income.
  • We send property details to all appropriate tenants on our extensive database and also ensure that all properties are always advertised on our website, as well as on all the leading property portals and in the highest profile local press.
  • At Forum Sales & Lettings we take pride that our offices are partner run, which results in a smooth and efficient service and also allows you to know exactly who you are dealing with each time you make contact with us.
  • We always undertake references through a reliable and proven referencing agency, as well as collect one calendar month’s rent in advance and a deposit equal to one and a half month’s rental.
  • We also create a legally sound Tenancy Agreement to safeguard your property.

We offer a full property management service for both UK based and ‘non-resident’ landlords. If you choose this option, then all your tenancies will run smoothly, cost effectively and within the law. This will amount to your peace of mind and also help you avoid the dreaded void periods that are every landlord’s nightmare.

As part of our service we also forward rental payments to our landlords as soon as the rental has been received into our bank account (payments are always due on the first of every month). We also carry out property inspections every three months.

Our services

We realise that some landlords wish to have more involvement than others with the letting and management of their properties. This is why we have a comprehensive range of services that can be adapted to suit the needs of any landlord.

Our three main services are as follows:

Full Management Service

This is a fully encompassing service where Forum Sales & Lettings deal with all aspects of managing the tenancy on the landlords’ behalf. Not only will Forum Sales & Lettings find and fully reference each tenant and then collect the rent on behalf of the landlord, but we will also deal with any day-to-day problems incurred throughout the duration of the tenancy. This is ideal for landlords who wish to have little involvement with any potential problems that may arise.

Tenant Find Service

With this service, Forum Sales & Lettings advertise the property on behalf of the landlord in order to find a suitable tenant. We then arrange all the necessary legal documentation, including the referencing and Credit Check of each tenant. When both landlord and tenant have signed the Tenancy Agreement, the landlord then manages the tenancy themselves.

Rent Collection Service

This service is practically identical to the Tenant Find Service, with the only difference being that the tenant pays all monthly rental to Forum Sales & Lettings instead of the landlord. This money is then kept in our designated bank account, where we will then deduct our agreed commission and pass the balance onto the landlord. Should the rent ever be overdue then we will chase the tenant on behalf of the landlord. Like the Tenant Find Service, the landlord still manages all other aspects of the tenancy.

Additional Services

Rent Guarantee and Legal Protection Insurance

All landlords should consider the possibility that things can, and do, sometimes go wrong.

Whilst we take every care to thoroughly vet all our potential tenants, we cannot foresee problems such as redundancy, illness or marital breakdowns; which can leave the tenant with financial problems and making it difficult or even impossible for them to meet their rental obligations.

Therefore, we can offer you a specialist Rent Guarantee and Legal Protection policy. Should your tenant default on rental payments or otherwise breach the Tenancy Agreement, this will provide you with cover against incurring legal expenses, plus guarantee any rent still owing.

We offer both a six month and a twelve month policy and will be able to provide you with an accurate price for both policies upon request.

Inventory and Schedule of Condition

We can compile a comprehensive Inventory and Schedule of Condition on your behalf. It is important for both landlords and tenants that such a document exists. This records the condition of the property and any contents prior to the commencement of a tenancy. This ensures that the property is returned to the landlord in the condition in which it was originally let in.

Finding a Property

We maintain both a database of properties available to rent and a database with prospective tenants and their requirements. As properties become available, our first action is to contact waiting applicants on our database whose requirements match that of the property. Typically, properties to rent become available about two months before occupancy date so, where possible, it is advisable to start looking at your earliest convenience.

Viewings

Having identified a potentially suitable property we will then arrange a viewing on your behalf. This will be at a time to suit you, subject, of course, to the occupier’s permission. All viewings will be accompanied by a member of staff who will be able to provide advice and answer any questions you may have.

Offer / Application

Having then decided on a property, each applicant will need to complete one of our Application Packs. At this time, any details or requirements can be provisionally agreed, such as occupancy date and duration of the letting etc.

Upon application, a Reservation Fee will be required. This will be equal to half a month’s rent. Assuming the rental then proceeds, this will be deducted from the monies due before occupation. These monies are outlined in more detail in the Rent, Deposit and Administration / Agency Fees sections below. If we or the landlord decline your application then this fee will be refunded (minus the fee for the referencing and Credit Check which, unfortunately, are non-refundable). It will, however, not be refunded if you decide not to proceed for any reason or if the tenancy fails to progress due to incomplete or inaccurate information provided during the tenancy application.

References

We will take references on behalf of the landlord. Typically, these will include your employer and former landlord, with a Credit Check also being undertaken. Where a tenant is unable to meet the required income levels or pass the Credit Check, it may, depending on the circumstances, be possible to have a Guarantor agree to underwrite any rent liabilities.

Rent

Rents are normally quoted on a calendar month basis. In addition, the tenant is usually responsible for Council Tax, water, gas, electricity and telephone costs. Rents are payable monthly, in advance, by Standing Order (unless alternative arrangements are previously agreed upon). The first month’s rent is therefore due before taking occupation of the property.

Deposit

A deposit is also required prior to the occupation. This amount could vary, but is normally equal to one and a half month’s rent depending on the individual requirements of the landlord. Unless prior arrangements are made, we will protect this in accordance with current legislation until the end of the tenancy. We will advise you at the commencement of your tenancy how your deposit has been protected.

The deposit is held to cover any breakages, damages or other tenant liabilities. If we have been managing the property, at the end of the tenancy we will check the property (in the presence of the tenant, if requested) and assess any damages and deductions due. Please note that the deposit cannot be used to cover rent.

Tenancy Agreement

The Tenancy Agreement will be produced prior to the commencement of the tenancy. All tenants will need to read and then sign this agreement. The Tenancy Agreement is a complex and lengthy document. If you have any queries regarding the agreement then please speak to a member of staff.

Administration / Agency Fee

A fee will also be due prior to the start of a tenancy. This fee covers your share of administration costs, preparation of the Tenancy Agreement, any legal notices, plus check-in, check-out, along with referencing and Credit Check costs. The total fee required is £240.00 (including VAT) plus £120.00 (including VAT) per each additional adult. We are aware that many agencies charge additional fees under the guise of renewal fees and termination fees etc. Often these fees aren’t even disclosed until you get the Tenancy Agreement (at which point it is too costly for you to look elsewhere). We don’t believe that these practices are ethical, hence we don’t have any hidden fees. The only fees we will charge you, as a tenant, are shown above.
